These general terms and conditions of business are applicable to bookings made directly with GRAND EXPEDITIONS CC (referred to in these conditions as GRAND EXPEDITIONS or the Company) South Africa  office.

Costs

GRAND EXPEDITIONS CC quotations are based on anticipated costs and are subject to amendment should these anticipated costs increase due to circumstances outside the control of GRAND EXPEDITIONS CC.

Costs are subject to change without prior notification. Costs are also subject to adjustment in the event of currency fluctuations, changes in government imposed taxes, fuel price, hotel charges, tourism levies and or the introduction of national, regional or local taxes or levies of whatever nature.

GRAND EXPEDITIONS CC reserves the right to make changes to brochure and website details and arrangements both before and after the booking has been made. Most changes will be minor, but if GRAND EXPEDITIONS CC has to do significant changes you will be notified at the earliest possible opportunity.

Although the Company takes care to ensure that all information on their website and or price brochures and/or quotations are correct, it will not be bound to any price that contains an inadvertent and/or obvious error. If a mistake occurs in any advertisement/quotation, the Company undertakes to take all reasonable steps to inform the customer of the correct details.

Deposit and payment

  1. Individuals (09 persons or less)

A refundable deposit of 25% of the full amount is required on confirmation of services, with the balance to  be paid not later than 60 days prior to commencement of services.

Bookings made within 60 days of departure must be accompanied by full payment.

Electronic Transfer: Proof of the transfer with a bank stamp must be faxed or emailed to our office (086 471 9546 / billing@grandexpeditions.co.za) as proof of payment. All transfer / bank fees are the responsibility of the client. GRAND EXPEDITIONS CC must receive the full total due in to the bank account.

Credit Card: If GRAND EXPEDITIONS CC accepts payment by Credit Card, an administration fee will be added to the total tour fare for which payment is being made.

Until such time as full payment has been received and final documentation has been issued, rates quoted are subject to change, without prior notice, due to currency fluctuation or any unforeseen operator expenses.

  1. Groups (10 persons or more)

A non-refundable deposit of 25% of the full amount is required on confirmation of services, with the balance to be paid not later than 60 days prior to commencement of services.

Rooming Lists

60 days prior to arrival, preliminary rooming list 35 days prior to arrival, final rooming list

The following exceptions will apply:

  1. Should any of the suppliers conditions vary from the above
  2. Should seasonal deposits be required
  3. Should bookings be made less than 60 days prior to arrival in which case full payment is required immediately.
  4. In certain cases, like the luxury trains and certain safaris GRAND EXPEDITIONS CC needs the final payment earlier than days stipulated above, before commencement of If payments have not been received in time, GRAND EXPEDITIONS CC reserves the right to cancel the booking.

Cancellation Policy

The date of cancellation shall be deemed to be the date on which the written notification is received in the GRAND EXPEDITIONS CC offices which issued the confirmation.

  1. Individuals (09 persons or less)

1.1) 30 – 15 days prior to commencement                   25% of the total tour cost

1.2) 14 – 08 days prior to commencement                   50% of the total tour cost

1.3) 07 days or less prior to commencement               100% of the total tour cost

 

  1. Individuals cancelling off a group tour

2.1) 30 – 15 days prior to commencement                   50% of the total tour cost

2.2) 14 – 08 days prior to commencement                   75% of the total tour cost

2.3) 07 days or less prior to commencement               100% of the total tour cost

 

  1. Group cancellation (10 persons or more)

3.1) up to 61 days prior to departure                           deposit will be lost

3.2) 60 – 31 days prior to commencement                   50% of total tour cost

3.3) 30 – 15 days prior to commencement                   75% of the total tour cost

3.4) 14 days or less prior to commencement               100% of the total tour cost

The payment of bank fees for bank transfers are the responsibility of the customer and are strictly non- refundable.

The trip may be cancelled with no penalty charge should war, a life-threatening epidemic, or any other natural catastrophe or similar event occur within 14 days prior to departure. This will however be on the condition that your government advises against travelling to the specific area, and that the situation in question has arisen after the booking of the tour was made.

Cancellations must be made in writing and delivered either by hand, post, fax or electronic mail.

In the case of death or serious illness, special cancellation terms can be negotiated if GRAND EXPEDITIONS CC is presented with an officially-approved death/sickness certificate.

Any terms from suppliers with stricter conditions to the above will apply.

Accommodation

Wherever possible GRAND EXPEDITIONS CC book rooms with private bath on the basis of 2 persons sharing a twin/double room. Single rooms are available at a supplementary charge but are not guaranteed.  Where  a single room cannot be supplied, a refund will be authorised. Hotels, lodges and camps where mentioned are named as an indication of category and GRAND EXPEDITIONS CC reserves the right to make alternate arrangements at similar hotels, lodges, camps.

Transport

GRAND EXPEDITIONS CC reserves the right to employ the services of sub-contractors.

Alteration to services

The right is reserved to change any route or arrangements should conditions necessitate, to offer substitutes of equal value or to cancel the operation of any scheduled service. The company will not be liable for any loss, damage that may be incurred by any alteration, suspension or curtailment of services.

General

Not included in GRAND EXPEDITIONS CC quotations are airfares, airport taxes, visas, beverages, gratuities and any expenses of a personal nature such as telephone/fax, laundry or room service charges unless stipulated under inclusions of the specific offer.

Variation

GRAND EXPEDITIONS CC may, in its sole discretion, change this agreement or any part thereof at any time without notice.

Responsibility

GRAND EXPEDITIONS CC does not have direct control over the provision of services by hotels, airlines and suppliers and shall not be liable for any loss, damage, injury, additional cost, accident, delay or irregularity that may be occasioned by any error or default.

Force Majeure

GRAND EXPEDITIONS CC is not liable for failure to perform its obligations if such failure is as a result of Acts of God (including fire, flood, earthquake, storm, hurricane or other natural disaster), war, invasion, act of foreign enemies, hostilities (regardless of whether war is declared), civil war, rebellion, revolution, insurrection, military or usurped power or confiscation, terrorist activities, nationalisation, government sanction, blockage, embargo, labor dispute, strike, lockout or interruption or failure of electricity or telephone service.

In these circumstances, GRAND EXPEDITIONS CC shall not be liable for any compensation or otherwise responsible for any expenses or losses the client might incur.

Insurance and liability

It is strongly recommended to insure against cancellation, medical expenses, personal accident, loss or damage to personal property, loss or damage to luggage. Neither the Company nor persons acting for, through or on behalf of the Company shall be liable for any loss or damage whatsoever arising from any cause whatsoever and without restricting the generality of the foregoing shall particularly not be responsible for loss or damage arising from any errors or omissions contained in its brochure or other literature, late or non-confirmation or acceptance of reservations, loss or damage caused by delays, accidents, sickness, injury or death, whether caused by negligence or not.

The Company may, at its discretion and without any liability or cost to itself, at any time cancel or terminate a passenger’s reservation and in particular without limiting the generality of the foregoing it shall be entitled to do so in the event of the illness or the illegal or the incompatible behaviour of the passenger, who shall in such circumstances not be entitled to any refund.
